
Better Model Coordination Starts Earlier
Ask a coordination team when clashes get caught, and the honest answer on most projects is: right before a milestone, in a dedicated session, using a report that's already several weeks stale by the time anyone reads it. This pattern is so common it barely registers as a choice — it's just how coordination happens. But it's worth noticing that this is, structurally, the most expensive way to catch a problem.
The cost curve nobody draws
Every conflict in a model has a cost to resolve, and that cost rises the longer the conflict sits undetected. A duct that clashes with a beam is cheap to fix the day it's modelled — move one element, done. The same clash, caught after the structural engineer has built three more decisions on top of that beam's position, and after the mechanical team has routed four more branches off that duct, is a different problem entirely. Not because the clash itself changed, but because everything built around it has to be unwound.
Late-stage coordination sessions don't just find problems. They find problems at the point of maximum cost to fix — which is precisely why they're so painful, and precisely why coordination should not be structured to happen only there.
Why late coordination became the default
Traditional coordination workflows are built around exporting models, aggregating them in a separate tool, running a clash report, and reviewing results as a group. This process has real value, but it's heavy enough that it only happens periodically — weekly at best, often less. The heaviness of the process, not any technical necessity, is what pushes coordination toward "occasional milestone event" instead of "continuous check."
That's the piece worth challenging. Coordination doesn't have to be heavy to be effective. A lightweight, continuous check that catches an obvious clash the day it's introduced prevents most of what a formal session later has to untangle.
What earlier coordination actually looks like
Earlier coordination isn't about running more clash reports. It's about closing the gap between when a conflict is introduced and when someone notices it.
Discipline-level awareness before the formal session. If a structural engineer can see, while modelling, that a beam is about to sit inside mechanical's routing zone, that's a conflict resolved in the moment — not discovered three weeks later in a coordination meeting with five other disciplines waiting on the resolution.
Standards that prevent conflicts before they're modelled. A significant share of "coordination issues" are actually standards issues — routing zones nobody defined clearly, clearance requirements that existed in a document but not in anyone's head while modelling. Making these standards visible and checkable at the point of modelling prevents the conflict from ever entering the model in the first place.
Smaller, more frequent checks over one large one. A short, informal check twice a week catches problems while they're still cheap, even if it's less thorough than a full formal session. The formal session still has value — for the conflicts that require a room full of disciplines to actually resolve — but it stops being the only line of defense.
The team dynamic this changes
There's a quieter benefit to earlier coordination that doesn't show up in a cost analysis: it changes the tone of the coordination meeting itself. A session spent discovering problems is tense, because every finding is a surprise and every surprise has a cost attached. A session spent resolving problems that were already flagged is a different kind of meeting — one where the hard conversations happen sooner, with more time and less pressure, instead of all landing in the same room two weeks before issue.
Coordination that starts earlier doesn't eliminate the need for a formal session. It changes what that session is for — from finding problems to resolving the ones that genuinely needed a group in the room. That's a better use of everyone's time, and a cheaper way to run a project.
